How to Customize Your File Folders

At The Supplies Shops, we’ve made it easier than ever to get a completely customized product to serve your business needs. Our custom size file folders are available in a variety of standard and personalized formats to accommodate the documents you work with on a regular basis. When it comes to folder material, you can choose from different stock weights to get lightweight or highly durable folders depending on your needs. We also offer custom color file folders for quick categorization, custom expanding file folders for keeping projects neatly organized and a variety of tab folder styles for easy reference. Choose from various fasteners, dividers, pockets and closures to personalize your folders further. In certain industries, our pre-labeled folders with color, text and/or number coding are popular as well.

Number of Folders

The starting point is to identify the quantity you are interested in acquiring.  Often we suggest looking at several quantities to find the most cost effect option.  While a higher quantity will offer cost savings, Supplies Shops is happy to quote smaller quantities especially for the pricier pressboard folders or modified stock products.

Folder Material

Custom file folders can use light weight 11 point stock, heavier 14 or 18 point stock to the heaviest pressboard stock coming in at 20 or 25 point.  The higher the points the thicker and more durable the filing folders will be.   Folders can also be constructed from plastics like polypropylene where extreme durability and long lasting filing solution is needed.  Often polypropylene folders are used multiple times and work great for job jackets.

Folder Sizes and Construction

Standard sizes for filing folders depend on the location of the tab, the size of the contents and the anticipated capacity required.  Tabs for labeling and identification can be found along the long edge, called a top tab and used in drawer filing systems.  Tabs found along the short side are called end tabs and are primarily used in shelf filing systems for medical patient charts. Both letter size and legal size are standard options with both top and end tab folders.  If only a few sheets are needed a standard ¾” expansion will do the trick, but where a hundred or more sheets of paper are going to be included in the folder we suggest a customize expansion option that can include a special fold to allow up to one and a half inches of capacity.  Heavy weight paper and pressboard can have gusseted spines made from paper or Tyvek that allow two to three inch capacity into a single folder.  Often with the higher capacity spines dividers will be added to help organize the folder.

Custom File Folder Features

Custom file folders can incorporate a range of features to assist keeping documents arranged and grouped.  Here are some of the options:

Fasteners – Both two and three metal prong fasteners with various capacities can be built in or glued to filing folders.  For larger capacity folder a space clip fastener can save time when needing to add or remove documents from a folder.

Dividers – built in dividers make categorization easier and often have their own fasteners to hold papers in place.  Where a build in option isn’t ideal both standard tabbed dividers and fileback divider can be attached to the folders fasteners to catalog the folder’s contents.

Pockets – Paper and poly pockets are applied to the folder to hold more unwieldy items or for documents that need to be removed often.  Poly pockets are available both open on one end or a zip lock seal to keep the contents more secure.

Pre-Labeled – Often used with end tab medical chart filing systems, folders can have color coded labels applied with a number sequence for easy identification.

Closures – filing pockets can have a flap added with button and string or an elastic cord to secure contents on the move.

File Folder Printing

Stock and custom file folder can be printed with text, graphics and logos.  Folders can be printed with black ink only, one color, two color or full color process to get the look you need.  Custom numbering is also available for internal organization.   Folders can be printed on the front and back as well as inside and on the dividers.   For filing folders being used in marketing logos and graphics can be added to help with company branding and give a professional look.   If an exact color is required we can either emulate a provided sample or use a Pantone color to match on press.  Single color runs are often the most budget friendly but color can go along way to helping with both brand awareness and organization.
